Privacy Policy

Last Updated: September 30, 2026. This version lists each detail the app sends us, every email we send, and the service that delivers them.

The Short Version

We are in the business of selling software, not data. Mail Memories is a local-only Mac and Windows application. It does not send your photos, email contents, or passwords to us or anyone else. The heavy lifting happens on your own computer.

1. We don’t see your photos.

When you use Mail Memories to scan your email, the application runs entirely on your computer. The connection is made directly between your computer and your email provider (e.g., Gmail).

Your photos are downloaded directly to your hard drive.
We do not have a server that processes or stores your images.
We physically cannot see, sell, or analyze your images.

2. We don’t touch your passwords.

When you log in using a Google App Password, that 16-character passcode is used locally on your machine to connect directly to Google via secure IMAP.

We do not have access to your password.
We cannot access your email account remotely.

3. The small amount of data we do collect.

To check your license, the app sends a few details to our server when you sign in and while it scans:

Your email address. We use it to check whether you’re on the free trial or have unlocked your full archive, and to send you the emails described in section 6.
Scan totals. The number of photos saved, their total size, and the year of the oldest one. Just the numbers, never the photos or emails themselves. We use them to decide which emails apply to you (for example, whether your free scan has finished).

We do not use third-party telemetry, tracking SDKs, or behavioral analytics inside the app to monitor your clicks or screen time.

4. Crash Reports.

If the app crashes, your operating system may ask if you want to send a crash report to the developer. If you choose to share this, it creates an anonymous log file that helps us fix the bug. This log does not contain your photos or personal data. You can opt out of this in your system settings.

5. Payment Information.

We use trusted payment processors like Stripe to handle transactions.

We never see your credit card number.
We only receive a secure webhook that confirms your email address has purchased a license, which instantly unlocks the app for you.
Your payment details are secured by the payment processor.

6. Emails from us.

Your email address acts as your software key. We keep emails to a minimum:

If you try the free scan: up to two emails about unlocking your full archive. The first is a reminder a few hours after your scan, and the second is a one-time discount a couple of days later.
If you buy a license: a receipt with instructions for starting your full scan (and any gift codes you bought), and, a couple of days later, one email asking how it went.

Every email except the receipt has a one-click unsubscribe link, and unsubscribing stops them all. If you reply, your message comes straight to me.

We send these emails through Resend, an email delivery service that receives your email address and the email’s content so it can deliver them. We will never sell your email address or share it with advertisers.

7. Changes to this policy.

If we ever change this policy (e.g., if we add a feature that requires a new permission), we will update the date at the top of this page and explain exactly what changed.
